Terms & Conditions
Please read these carefully before booking
Please note: We strongly advise you to take out suitable travel insurance for the type of holiday you are booking with us, to cover your holiday cost should you need to cancel for reasons outside of our control e.g illness that prevents you from travelling, extreme weather conditions, etc, or for last minute cancellations.
1. The Contract
1.1 Your contract is with us, Alexander House Rentals Limited (Registered Number 7715277).
1.2. In these terms, “The Client” is the person who has made arrangements with Alexander House as the principle contact or party leader and is named on the Booking Form and Confirmation.
2. The Reservation Process
2.1 We may agree to you making a provisional booking with us, but this is not legally binding on either you or us unless and until a contract is entered into and signed by both parties, thereby confirming any provisional booking. A provisional booking can be held up to 48 hours, after which it will be cancelled if we have not received payment (in part or full).
2.2 A deposit of 33% is required to secure the booking and is not refundable if you subsequently cancel a confirmed booking. Payments can be made in by bank transfer, Visa, MasterCard, American Express or Paypal payments. Your balance falls due 30 days prior to your arrival at the property.
2.3 Alexander House reserves the right to refuse or cancel a confirmed booking if it is deemed that the accommodation might not be suitable for the intended stay. In this event we regret to say that the deposit will be non-refundable.
2.4 As soon as your confirmation is received please check the details carefully, if anything is incorrect please inform us immediately. However, we regret we cannot accept liability if we are not notified of any inaccuracy in the documentation and we reserve the right to move guests between similar glamping accommodation if required (lorry to lorry, yurt to yurt for example).
2.5 Late payments will be charged an administration fee of £50 for balances under £200, £100 for balances between £200 and £1000.
3. Security Deposits
3.1 A security deposit is not required for Bramble, Heather, Juniper and Thistle, therefore we ask guests to advise us of damages and breakages, and pay for these, prior to their departure. We reserve the right to charge extras and damages to the card we hold on file through HolidayRentPayment, should they not have been paid for prior to departure.
3.2 In the event that the cost of rectification for losses or damage caused by the Client or member of their party exceeds the security deposit/card charge limit, held then the Client will be notified of any additional amount owing, and must pay this within 7 days of receipt of the invoice.
4. Cancellations
4.1 Alexander House will endeavour to resell your holiday in the event that you need to cancel your booking with us. Where cancellation notice is received after the deposit has been paid and before the final balance is due, the Client is still liable to pay the final balance on the due date, unless Alexander House have successfully re-sold the holiday dates. In the event that Alexander House resells your holiday date, you will be refunded monies paid less £50 administration and marketing fee. If Alexander House is unable to sell any part of the cancelled period then all monies paid will be forfeit.
4.2. For this reason, we strongly recommend that you also take out your own travel insurance for UK holidays which covers booking cancellations. This is available at very affordable rates and gives you the peace of mind that you will get your money back if you need to cancel your holiday. If you choose not to, then you accept responsibility for any loss that you may incur due to your cancellation. You can look for suitable cover on comparison sites such as GoCompare
4.3 It is extremely unlikely that Alexander House will cancel a confirmed booking, however in this event Alexander House reserves the right to cancel a booking and the client will be informed as soon as possible, and we will offer to swap your dates to an alternative available date, or offer you a full refund if no suitable alternative date can be found. We reserve the right to move your booking to one of our other glamping units in the event that it is deemed that your chosen unit is not safe for the weather conditions at the time of your booking, or in the event of damage by others to your chosen glamping unit.
4.4 Bad weather, illness, force majeure. If you or any member of your party cannot get to us due to bad weather, illness or any other reason outwith our control, and therefore we, or you have to cancel your booking with us we cannot change or refund, your booking. It is the responsibility of the client to ensure that they have suitable travel insurance to cover these eventualities.
If wind speeds are forecast to be over 45mph gusts at the postcode PH3, we will proactively offer all clients a swap to an alternative date, within 3 months of the booking date, for the safety of guests, and Alexander House staff, as it is not deemed safe for guests to remain in our glamping structures beyond these windspeeds.
4.5 COVID-19 amendment
4.6 It is the Guest’s responsibility to ensure that they have suitable travel insurance to cover all except Government Lockdown Covid cancellations.
4.7 Where cancellation notice is received after the deposit has been paid and before the final balance is due, the Client is still liable to pay the final balance on the due date, unless Alexander House have successfully re-sold the holiday dates.
4.8. If Alexander House is unable to sell any part of the cancelled period then all monies paid will be forfeit.
4.9 Government Restriction Covid Cancellations
Full Lockdown Cancellations. Should we be in a full lockdown we would ask you to move your dates to an alternative date in the future in the first instance, or if that is not possible you will be offered a full accommodation refund, less administration fee of £50.
Scottish Government Tier cancellations. Should Alexander House not be allowed to receive guests from outwith our area, we will be offering in the first instance to move your booking to an alternative date in the future, or if that is not possible you will be offered a full accommodation refund, less administration cost of £50. Should your residence be in an area, or those of any of your party, that means you are prevented from travelling to us, you will need to ensure that you have suitable travel insurance to cover this eventuality.
Illness on the part of the guest. In the case of self isolation, or any illness on the part of the guest, whether it be Covid or any other illness, which means that you cannot come to Alexander House, you must ensure that you are covered by your insurance, as this is an instance outwith our control, and you will not be due a refund.
5. Use of Property and Your Responsibilities
5.1 Party size – There are limits on the maximum number of guests that can be at Alexander House and the number of guests on the property must not exceed this limit unless otherwise agreed with the owner. Our property has external CCTV cameras and if footage or other images show more guests have entered the property than the maximum number allowed then a charge will be deducted from the Security Deposit or the Client may be asked to vacate the property immediately. The maximum number of persons is 2 people per yurt or 2 adults and 2 children under 10 in our lorries. This must be the same guests throughout the stay. Children must be supervised at all times when onsite. Our properties are in a rural location with quirky layouts and levels, clearly shown in our images. If you or your children cannot cope with unusual levels and steps, please do not book. Your children’s safety remains your responsibility through out your stay.
5.2 Alexander House does not accept stag parties and we reserve the right to refuse admission to the property or to ask the client to vacate the property with immediate effect if the Client fails to adhere to this condition.
5.3 We do not accept dogs in Yurts Bramble and Heather. 2 small dogs or 1 large dog may be accepted on request in our lorries, at an additional charge per dog of £25, and must be kept on leads in the grounds at all times, with dog poo promptly picked up and placed in the bins provided onsite. Dogs must not be left unattended in any property at any time. Banned breeds are not accepted on site at any time, and we reserve the right to ask you to leave, should you bring such a dog to site.
5.4 The glamping site is in a rural area, all rubbish must be removed from the site to the bins in the Glamping Carpark on your departure from the property, or to the bins indicated by the house keeping team on your arrival, including correctly sorted recycling. Glass must be put into the crates provided next to the rubbish bins. The property and site should be left in a clean and tidy state on departure and we reserve the right to charge additional cleaning fees if safety rules are not observed or this is not the case.
5.5 The Client is legally obliged to take all reasonable and proper care of the property and around the property and shall leave Alexander House in the same state at the end of the rental period as found at the beginning.
5.6 Should there be a power cut you will need to vacate the property. All heat, water and light is power dependent. Please DO NOT turn taps on during a power cut, as the water does not work, and when the power comes back on and so does the water, you may cause basins and baths to overflow and cause damage which you will be liable for.
5.7 The Client is legally obliged to ensure that they do not cause nuisance to neighbours and keep noise to a minimum after 11pm.
5.8 No motorhomes, campervans, caravans or tents are to be pitched at Alexander House under any circumstances. Electric cars are not to be hooked up to the Alexander House electricity supply, or any other battery operated item/bouncy castle or other outside entity, without specific written prior agreement from the owner.
5.9 Use of the wood burning stoves and wood burning hot tubs is at the user’s risk, and instructions must be followed carefully as to the use of these items, as they pose a significant fire risk. No items should be place on any burners at any time. Any damage caused by incorrect use of these items will be charged, prior to your departure from the property, if discovered prior to departure, and post departure, if discovered post departure.
