Terms & Conditions
Please read these carefully before booking
Please note: We strongly advise you to take out suitable travel insurance for the type of holiday you are booking with us, to cover your holiday cost should you need to cancel for reasons outside of our control e.g illness that prevents you from travelling, extreme weather conditions, etc, or at the last minute.
1. The Contract
1.1 Your contract is with us, Alexander House Rentals Limited (Registered Number 7715277).
1.2 In these terms, “The Client” is the person who has made arrangements with Alexander House as the principle contact or party leader and is named on the Booking Form and Confirmation.
2. The Reservation Process
2.1 We may agree to you making a provisional booking with us, but this is not legally binding on either you or us unless and until a contract is entered into by both parties, which will deem to have been agreed by any part of the deposit payment being received and confirmed by Alexander House Rentals Limited, thereby confirming the booking. A provisional booking can be held up to 24 hours, after which it will be cancelled if we have not received payment (in part or full).
2.2 A deposit of 33% is required to secure the booking and is not refundable if you subsequently cancel a confirmed booking. Payments can be made by bank transfer, Visa and MasterCard. Your balance falls due 90 days prior to your arrival at the property. An administration charge of £100 on overdue balances under £999 will apply, £250 for balances between £1,000-£4,999.99, and £500 for balances up to £9,999.99 and £1000 on balances over £10,000. We reserve the right to cancel your booking for non-payment of your balance, and our normal cancellation charges will still apply. Subject to Scottish Local Authority Laws an additional Tourist Levy may be applicable, and this will fall due as per the terms set out in the Local Authority guidelines that apply at the time of the guest stay with us at Alexander House.
2.3 Alexander House reserves the right to refuse or cancel a confirmed booking if it is deemed that the accommodation might not be suitable for the intended stay. In this event, we regret to say that the deposit will be non-refundable, unless Alexander House ceases to holiday let the property, in which case all deposits would be returned. Please note that Alexander House is not a suitable venue for stag parties.
2.4 As soon as your confirmation is received please check the details carefully, if anything is incorrect please inform us immediately. However, we regret we cannot accept liability if we are not notified of any inaccuracy in the documentation.
2.5 Late payments will be charged an administration fee. Where payments are made more than 1 year prior we reserve the right to increase pricing by the percentage of the retail price index for the year in which the booking is made, should exceptional increases arise. This increase will be taken exactly one year prior to your stay with us. ie for a stay in January, the preceding January will be the month’s RPI figure used.
2.6. In the case of Self Catered Stays, the guest confirms that they are booking the relevant property for a maximum of up to 14 guests in the East Wing, 18 guests in our Sleeps 18 option, 22 guests in our Sleeps 22 option, or 28 in our Sleeps 28 option, as stated on your booking confirmation. No minimum numbers apply and guests names and addresses must be supplied 14 days prior to arrival at the property. Day guests are specifically NOT permitted at any time, unless specifically prebooked. Maximum numbers apply.
3. Security Deposits
3.1 A Security Deposit of £1000 in Alexander House and £750 in The East Wing, is required to cover the costs resulting from the action or inaction of a Client or a member of their party, including ensuring that numbers of guests remain within the specified totals, and that the property is left clean and tidy on departure. The Security Deposit is returned within 14 days of your departure from the property unless any costs are incurred. Guests will be notified in by email of any charges applied.
3.2 In the event that the cost of rectification for losses or damage caused by the Client or member of their party exceeds the security deposit held then the Client will be notified of any additional amount owing.
4. Cancellations
4.1 Where cancellation notice is received after the deposit has been paid and before the final balance if due, the Client is still liable to pay the final balance on the due date, unless Alexander House have successfully re-sold the holiday dates. In the event that Alexander House resells your holiday date, you will be refunded monies paid less a £50 administration and marketing fee, and any reduction in pricing required to resell the booking dates. If Alexander House is unable to sell any part of the cancelled period then all monies paid will be forfeit.
4.2. For this reason, you must take out ‘Cancel for any reason’ travel insurance for UK holidays which covers booking cancellations. This is available at very affordable rates and gives you the peace of mind that you will get your money back if you need to cancel your holiday. If you choose not to, then you accept responsibility for any loss that you may incur due to your cancellation not falling within the terms of our cover. You can look for suitable cover on comparison sites such as GoCompare. If you do not take out travel insurance you do this at your own risk and our Terms will stand.
4.3 It is extremely unlikely that Alexander House will cancel a confirmed booking, however in this event Alexander House reserves the right to cancel a booking and the client will be informed as soon as possible, and we will offer to swap your dates to an alternative available date, or offer you a full refund if no suitable alternative date can be found.
4.4 Bad weather, illness, force majeure. If you or any member of your party cannot get to us due to bad weather, or are advised by The Met office not to travel, or for any illness or any other reason outwith our control, and therefore we or you have to cancel your booking with us, we cannot change or refund, your booking. It is the responsibility of the client to ensure that they have suitable travel insurance to cover these eventualities. In the event of the above we will endeavour to advise you of road closures near the property as soon as we hear of them to assist with your travel planning and in the interests of the safety of all parties.
4.5 2021 bookings onwards, it is the Guest’s responsibility to ensure that they have suitable travel insurance to cover all except Covid Lockdown cancellations.
4.6 Where cancellation notice is received after the deposit has been paid and before the final balance is due, the Client is still liable to pay the final balance on the due date, unless Alexander House have successfully re-sold the holiday dates.
4.7. If Alexander House is unable to sell any part of the cancelled period then all monies paid will be forfeit.
5. Use of Property and Your Responsibilities
5.1 Party size – There are limits on the maximum number of guests that can be at Alexander House and the number of guests on the property must not exceed this limit unless otherwise agreed with the owner. Our property has external CCTV cameras and if footage, or images show more guests have entered the property than the maximum number allowed then the Security Deposit will be charged in full and the Client will be asked to vacate the property immediately.
The maximum number of persons to be in the property at any time will be dictated by the government guidance and Scottish laws pertaining at the time of the booking but shall at no time be more than, 14 guests in the East Wing, 18 guests in our Sleeps 18 option, 22 guests in our Sleeps 22 option, or 28 in our Sleeps 28 option. Day guests are specifically NOT permitted unless prebooked, maximum numbers apply. The guests staying must be the same guests throughout the stay, you may not swap out guests mid stay, as this would constitute an entirely new booking for the new guests staying, except with specific written agreement from the Owners.
No outside suppliers are to be used at Alexander House without the written prior consent of the owner, and suitable public liability insurance having been shown to the owner prior to the supplier’s and guest arrival at Alexander House. Only pre-agreed caterers may be used at Alexander House.
5.2 Alexander House does not accept stag parties and we reserve the right to refuse admission to the property or to ask the client to vacate the property with immediate effect if the Client fails to adhere to this condition. Hen Parties must adhere to all noise and house rules, and must not cause nuisance to other guests onsite. Failure to do so will result in your party being asked to vacate the property, your full security deposit being charged, and no refund will be due. All guests must ensure that they do not cause nuisance to other guests onsite, or cause any form of affray, noise pollution or public nuisance which requires the attendance of emergency services/law enforcement officers. Should this occur, you will be asked to vacate the property immediately and your deposit will be forfeited in full.
5.3 We accept up to four well behaved dogs at Alexander House, and no other pets. 2 in the Wee West Wing Annexe, 4 in Alexander House Sleeps 22 & 28. Dogs must not be allowed upstairs in the main property, or on the soft furnishings. You must pick up all dog poo promptly and dogs must be kept on leads in the grounds and on the driveway at Alexander House, there is a fenced courtyard for dogs in the East Wing, where dogs may be allowed off lead under owner’s supervision. Off lead dog walks can also be found locally. Dogs may not be left unattended at the property at any time. Banned breeds are not accepted onsite at any time. We will ask you to leave immediately, if you are found with a banned breed in any of our properties.
5.4 Alexander House is in a rural area and has a septic tank. If anything other than toilet paper is flushed down any w.c in the house and causes blockage this will result in a deduction taken from the Security Deposit.
5.5 The Client is legally obliged to take all reasonable and proper care of the property and around the property and shall leave Alexander House in the same state at the end of the rental period as found at the beginning, removing all glass recycling from the property on departure and ensuring that they remain within the law at all times whilst within Alexander House and grounds. Use of any illegal substances or performing any form of illegal activity whilst in the property will result in immediate termination of your stay with us, and you will be asked to depart the property immediately, with no compensation due. The property must be left clean and tidy on departure, with all safety rules observed. We reserve the right to charge additional cleaning fees should this not be the case.
5.6 Should there be a power cut or interruption to the gas supply you may need to vacate the property. In the case of a power cut all heat, water and light is power dependent, therefore you will need to vacate the property. Please DO NOT turn taps on during a power cut, as the water does not work, and when the power comes back on and so does the water, you may cause basins and baths to overflow and cause damage which you will be liable for. Should there be a gas supply interruption, we will endeavour to provide you with alternative electric temporary heaters and electric hobs until the supply can be restored. We will supply all relevant paperwork for you to complete a claim form with your insurers in these eventualities.
5.7 The Client is legally obliged to ensure that they do not cause nuisance to neighbours and keep noise to a minimum after 11pm. Fireworks, Chinese lanterns, firepits and any other form of incendiary are expressly forbidden at Alexander House.
5.8 No motorhomes, campervans, caravans or tents are to be pitched at Alexander House under any circumstances. Electric cars are not to be hooked up to the Alexander House electricity supply, or any other battery operated item/bouncy castle or other outside entity, without specific written prior agreement from the owner.
5.9 We reserve the right to make changes to the interior and/or exterior of the property between the time we accept your booking and the date of your stay with us. For example, if repairs are required then we reserve then right to close or make unavailable certain parts of the grounds, facilities or property.
5.10 COVID-19 HEALTH AND SAFETY AMENDMENT FOR BOOKINGS DURING 2020/2021.
Health and Safety Law requires all commercial premises to adhere to strict guidelines to limit the spread of the Coronavirus. As a Commercial Property, Alexander House reserves the right to alter your booking to meet Government Coronavirus Hospitality & Accommodation Guidance that applies the time of your stay. This may include, but is not limited to; only using onsite catering facilities run by staff directly employed by Alexander House, limiting use of bedrooms to one household only, and/or limiting use of parts of the building and grounds to ensure compliance with guidance.
